Privacy

This page explains, in plain English, what personal information I collect, why I need it, how long I keep it and the rights you have over it.

Who I am

Marika Roseberg Photography is part of Roseberg Media Ltd, a company registered in Scotland (SC810924) at 3 Hill Street, Edinburgh, EH2 3JP. Roseberg Media Ltd is the data controller for the information described here. If you have any questions, email mail@marikaroseberg.com.

What I collect

  • When you send an enquiry: your name, email address, phone number, the sessions you are interested in, when you would like your session and anything you choose to tell me in your message.
  • When you join the newsletter: your email address.
  • When you book a session: the details needed to plan and deliver it, such as your address for prints, your outfit choices and your invoices.
  • Your portraits: the photographs taken at your session.
  • When you visit the website: if you accept optional cookies, anonymous information about which pages are visited. The cookie policy explains this.

Why I use it

  • To reply to your enquiry and arrange a call. The legal basis is taking steps at your request before a contract.
  • To plan, deliver and invoice your session. The legal basis is our contract, and my legal duty to keep financial records.
  • To send the newsletter, only if you have signed up and ticked the consent box. The legal basis is your consent, which you can withdraw at any time by replying to any letter.
  • To show your portraits in my portfolio, on social media or in the Journal, only with your written permission. You can withdraw that permission at any time for future use.

I never sell your information or share it with anyone for their own marketing.

Who helps me

A small number of trusted services handle information on my behalf: Google, which hosts this website and receives the contact and newsletter forms (stored in my own Google account), my email provider, online gallery and print partners, and my accountant. Each only uses your information to provide their service to me. Some of these services may store information outside the UK, in which case they use recognised safeguards such as the UK International Data Transfer Agreement.

How long I keep it

  • Enquiries that do not lead to a booking: up to 12 months.
  • Client records and invoices: six years after your session, as required for tax purposes.
  • Your portraits: kept securely so you can request copies, unless you ask me to delete them.
  • Newsletter details: until you unsubscribe.

Your rights

You can ask to see the information I hold about you, to correct it, to delete it, to restrict or object to how I use it, or to receive a copy to take elsewhere. Email mail@marikaroseberg.com and I will reply within one month.

If you are unhappy with how your information has been handled, please tell me first so I can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
